The third row is the interesting one. Status calls have almost no direct value, but they consume the capacity that would otherwise answer the first two. Automating only that lane frees the desk without touching anything commercially sensitive — which is why it is often the right place to start.
What the assistant needs to know about a vehicle
A generic answering service takes a name and a number. That is not enough to book workshop time, because the job length depends on the vehicle. Four fields turn a message into a booking.
- 1Registration. Everything else can be looked up from it — model, engine, service history, whether the MOT is due.
- 2The job. Interim service, full service, MOT, diagnostic, warranty work. These have different durations and different bay requirements.
- 3Mileage, which decides which service interval applies and therefore how long the car is in for.
- 4Whether they need a courtesy car, which is a separate diary with its own availability.
If the assistant cannot read your workshop diary and see that a Thursday diagnostic slot is two hours rather than one, it is guessing — and a guessed booking creates more work at the desk than a missed call.
Test drives: a different job entirely
Service calls are logistics. Test drive enquiries are sales, and they behave like sales: the buyer is comparing, they are usually enquiring in the evening, and speed of response dominates everything else.
For those calls the assistant should do less, not more. Capture the vehicle of interest, whether there is a part exchange, and a realistic time window; then get it in front of a salesperson quickly with the context attached. The reminders that fill next month's ramps
Most dealers have an MOT and service reminder list. Most work it when someone has a spare afternoon, which is not a schedule. Running it from a trigger instead is unglamorous and reliably worth more than the answering.

A first month that proves or disproves it
Pull one month of call data and split it by hour. If your unanswered calls cluster between eight and ten in the morning and after six in the evening — which is the usual shape — cover only those two windows to begin with, and leave the staffed hours alone.
Measure two numbers against a baseline you set beforehand: service bookings originating from the phone, and MOT reminders that converted. Not calls answered — that goes to a hundred per cent by definition and tells you nothing.

Where a real integration to your DMS exists, yes — and that is the thing to verify rather than assume. Ask to see a booking appear in the diary your workshop reads, during a live call in the demo. Job duration has to come from the diary too, otherwise the assistant is guessing at bay time.
Should test drive enquiries be handled by AI?
Partly. Capturing the vehicle of interest, any part exchange and a realistic time window works well and happens immediately, which matters most for evening enquiries. The conversation itself belongs to a salesperson — the assistant's job is to get it to them fast, with context.
What about customers ringing to ask if their car is ready?
That is usually the best first lane to automate. It has almost no direct revenue attached, so nothing commercial is at risk, and it consumes the capacity that would otherwise answer service and sales calls. Freeing the desk from it changes the morning noticeably.
Do we need to change our phone system?
No. The assistant sits behind your existing line and number; your provider, routing and porting arrangements are unaffected. You are adding a way of answering, not replacing the telephony.
